What is included in the Standard plan?

The Standard plan is available at no charge and includes everything you need to manage properties and tenancies: compliance tracking, maintenance requests, rent and deposit tracking, document storage, tenant vetting, in-app messaging, tenancy notices, Right to Rent tracking, and an in-app assistant you can ask questions about your tenancies. No credit card is required.

What is Pro and how does it work?

Pro is a per-property upgrade that unlocks advanced features for that property: HMO room management, Section 13 rent increase notices, tenant referencing checks, Section 8 Form 3 / 3A generation, Section 21 Form 6A generation (transition window), e-signatures for tenancy agreements and notices via Zoho Sign, move-in and move-out documentation packs, property photo uploads with check-in/check-out comparison, Portfolio Health dashboard, financial reporting with Section 24 tax estimates, and Xero accounting integration. You can upgrade or downgrade any individual property to Pro or back to Standard at any time from the property page.

How are properties counted for PRO billing?

Each property address counts as one property. For HMOs, the whole building counts as one property regardless of the number of rooms.

Who pays — the landlord or the agent?

If an agent is assigned to a property, the agent pays the PRO agent rate for that property. The landlord pays nothing for agent-managed properties. Landlords pay PRO pricing for self-managed properties only.

What happens when I cross a pricing band?

Pricing bands are automatic. When your property count crosses a threshold, the new rate applies across all your properties for that billing month — so adding more properties always reduces your per-property cost.

Can I pay annually?

Yes. Annual billing gives you 2 months free — roughly a 17% saving across all PRO tiers.

Can I cancel any time?

Yes. There are no long-term contracts. Cancel at any time and you will retain PRO access until the end of your billing period. Your data and Basic features remain accessible indefinitely.

Is Tenant City suitable for HMO landlords?

Yes. Tenant City supports HMO properties natively. The Pro plan includes room-level management within a single HMO property, so you can track individual rooms, their tenants, and compliance separately — while the whole building still counts as one property for billing.

Does Tenant City support the Renters’ Rights Act?

Yes. Tenant City is built for the Renters’ Rights Act. The platform handles periodic tenancies, Section 13 rent increase notices, pet request tracking, prescribed information sheet delivery, and Section 8 notice logging with Form 3 / 3A generation — all of the key obligations introduced by the Act.

Does Tenant City support Section 21 notices?

Yes, on the Pro plan and for eligible tenancies only. Section 21 is available for tenancies that started before 1 May 2026 (the Renters’ Rights Act commencement date); notices must be served before 31 October 2026. Tenant City verifies that the required compliance documents — EPC, Gas Safety Certificate, and How to Rent guide — are on file before allowing a notice to be created, helping landlords stay legally protected. For tenancies that predate the platform, a one-time legacy certification confirms that documents were served at the time.

Can letting agents use Tenant City for their whole portfolio?

Yes. Letting agents get a flat Pro rate of £5 per property per month (£4 on annual billing), regardless of portfolio size. Agents can invite team members, assign portfolios, and get an agency-wide view of all properties and tenancies. The landlord pays nothing for properties managed by an agent.

How does tenant vetting and referencing work?

On the Standard plan, landlords and agents can invite applicants through a structured vetting workflow that collects employment, income, and Right to Rent information. The Pro plan adds full tenant referencing checks — a third-party credit and background check — directly through the portal.

Does Tenant City include financial reporting for landlords?

Yes. The Financials section gives you a per-property income and expense summary. Log expenses by SA105 category (repairs, insurance, professional fees, etc.) and track all rent payments. If you add mortgage details to a property, Tenant City calculates a Section 24 tax estimate showing your gross rental income, allowable expenses, finance cost restriction, and estimated liability at 20% and 40% rates. Subscription fees for Pro properties are automatically recorded as an expense. These figures are a guide — always verify with your accountant.

How does Tenant City use AI?

Tenant City includes four built-in tools that use AI to handle the time-consuming parts of tenancy management. The In-app Assistant is available on the Standard plan at no extra cost — ask any question about your tenancies, compliance obligations, or how the platform works, and it responds in the context of your role. The Pro plan adds three further tools: the Letter Drafter (generates formal, legally-aware UK landlord letters in seconds — rent arrears warnings, Section 8 notices, breach notices, and more), the Document Analyser (upload a tenancy agreement or compliance certificate and receive a plain-English summary, key dates, and any compliance issues flagged), and Maintenance Triage (automatically classifies maintenance requests as emergency, urgent, or routine, with tenant guidance and contractor job specification generation).

Does Tenant City support e-signatures?

Yes, on the Pro plan. When a tenancy is activated, the tenancy agreement is automatically sent to all parties for digital signing via Zoho Sign. Section 8 possession notices can also be sent for e-signature. Signed documents are stored against the tenancy record once all parties have signed.

Can I connect Tenant City to my accounting software?

Yes. Tenant City integrates with Xero via OAuth. Once connected, property income and expenses sync directly to Xero, eliminating manual data entry at year-end. Xero integration is a Pro feature.

Is there a mobile app?

Tenant City is a fully responsive web application that works on any device. A native iOS app is also available on the Apple App Store. You can access everything through your browser or the app on desktop, tablet, or mobile.
