1. Acceptance of terms
By creating an account on Tenant City, you agree to these Terms of Service and our Privacy Policy. If you register as a landlord or letting agency, you also accept our Data Processing Agreement, which governs how we process your tenants' personal data on your behalf. If you do not agree, please do not use the platform.
2. The service
Tenant City provides a property management platform for UK landlords, letting agents, and tenants. The platform enables management of properties, tenancies, compliance documents, maintenance requests, payments, and communications between landlords, agents, and tenants. We are not a letting agency, estate agent, or party to any tenancy agreement. We provide tools only — the legal relationship exists between landlords, agents, and tenants.
3. Account responsibilities
You are responsible for:
- Maintaining the security of your account credentials.
- All activity that occurs under your account.
- Ensuring the accuracy of information you provide on the platform.
- Compliance with all applicable laws, including UK landlord and tenancy law.
4. Landlord and agent obligations
If you use the platform as a landlord or letting agent, you warrant that:
- You will comply with all applicable UK housing legislation, including the Housing Act 1988 (as amended), the Tenant Fees Act 2019, and the Renters' Rights Act 2025 (effective 1 May 2026).
- You hold all necessary licences to let the relevant property (including HMO licences where applicable).
- You are responsible for your own deposit protection obligations under the Housing Act 2004. The platform's deposit tracking is a record-keeping tool only.
- You are the data controller for your tenants' personal data. Our Data Processing Agreement sets out your obligations and ours in this regard.
5. Acceptable use
You agree not to:
- Use the platform for any unlawful purpose.
- Upload false, misleading, or fraudulent information.
- Attempt to gain unauthorised access to other users' data.
- Use the platform in any way that disrupts or damages the service.
- Scrape or systematically extract data from the platform without our written consent.
6. Subscription and billing
Access to Pro features requires a per-property subscription. By subscribing you agree to:
- Pay the applicable fees for your chosen billing plan (monthly or annual).
- Provide accurate billing information via Stripe's secure hosted checkout. Card details are handled by Stripe and never stored by Tenant City.
- Automatic renewal at the end of each billing period until cancelled.
Payments are processed by Stripe. A PDF invoice is automatically generated by Zoho Books and emailed to you each time a payment is taken. You may cancel or manage your subscription at any time via the Stripe Customer Portal (accessible from the Billing page). Cancellation takes effect at the end of the current billing period. We do not provide refunds for partial billing periods.
7. Standard and Pro tiers
The Standard plan is currently provided at no charge. Individual properties can be upgraded to the Pro tier at any time to unlock advanced features (HMO room management, rent increase notices, tenant referencing, Section 8 PDF generation, and property photo uploads). Pro properties are billed at the applicable per-property monthly rate. No credit card is required to create an account or use Standard features.
8. Data and content
You retain ownership of all data and content you upload to the platform. By uploading content you grant us a limited licence to store and process it solely for the purpose of providing the service. We do not use your data for any other purpose. See our Privacy Policy for full details.
9. Disclaimer
Tenant City is a management and record-keeping tool. It does not constitute legal advice. You are responsible for ensuring compliance with all applicable landlord, tenancy, and property law, including the Housing Act 1988, the Housing Act 2004, the Tenant Fees Act 2019, and the Renters' Rights Act 2025 (which, among other changes, abolishes Section 21 "no-fault" evictions and introduces a new periodic tenancy regime — landlords must rely on the statutory grounds in Schedule 2 of the Housing Act 1988 as amended). We strongly recommend seeking independent legal advice where required.
10. AI-generated content
The platform offers AI-powered features including a chat assistant, a letter drafter, a document analyser, and an automatic maintenance triage tool. These features are powered by Anthropic's Claude API.

- Not regulated legal practice. Tenant City Limited is not a solicitor, barrister, or law firm and is not regulated by the Solicitors Regulation Authority (SRA) or any other legal regulatory body. Nothing on this platform creates a solicitor-client relationship.
- Your responsibility. You must review all AI-generated content before acting on it or sending it to any party. You remain solely responsible for the accuracy and legal compliance of any documents or notices you send.
- Data transmission. When you use an AI feature, relevant data (which may include personal details and document content) is transmitted to Anthropic's API for processing. See our Privacy Policy for details of the data transmitted and the safeguards in place.
For legally sensitive situations — including Section 8 possession proceedings, deposit disputes, and Right to Rent compliance — we strongly recommend consulting a qualified solicitor.
11. Limitation of liability
To the extent permitted by law, Tenant City shall not be liable for any indirect, incidental, or consequential damages arising from your use of the platform. Our total liability to you shall not exceed the amount you have paid to us in the 12 months preceding the claim, or £100, whichever is greater. Nothing in these terms excludes liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.
12. Termination
We reserve the right to suspend or terminate your account if you breach these terms or use the platform in a way that is harmful to other users or the service. You may close your account at any time by contacting us.
13. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
